A daughter calls your office at 4:45 on a Friday. Her mom fell last week, she’s home from the hospital on Monday, and the family needs someone in the mornings to help with bathing and meals. She lives two hours away. Long-term care insurance might cover some of it. She wants to talk to her brother before committing.

That’s a great inquiry. And almost all of it lives in your intake coordinator’s head.

Then the next call comes in. The notes get written as “Daughter called re: mom, needs AM help, call back.” Monday morning, someone else returns the call and asks her to start from the beginning. She’s already talked to two other agencies who remembered her mom’s name.

Every call your team takes ends with homework: write the notes, update the contact, log how it went. On a busy intake day, that homework doesn’t get done, and that’s where home care agencies quietly lose clients they already won on the phone.

Introducing Voice Intelligence in CareFunnels

Voice Intelligence is now available in CareFunnels Labs. After every recorded call, it does the homework for your team:

  • Writes the call summary: what the caller needed, what was agreed, and what happens next.
  • Suggests contact updates: names, emails and the custom fields you choose, ready to review and save.
  • Picks the call outcome from your own list, so every call is logged the same way.
  • Scores the call out of 10 against your own script, with a tip on what to do better.

Your team stays in charge. Nothing changes on a contact until someone reviews it and clicks save.

If you’re using CareFunnels AI Voice to answer calls, think of Voice Intelligence as the other half. AI Voice handles the calls nobody picks up. Voice Intelligence makes the calls your team does take count for more.

What It Means for Each Part of Your Agency

Client intake: a complete story, every time

Set the summary up to capture what an intake call is really about: who needs care, what happened, the care needs, hours and days, start date, how they’ll pay, and who makes the decision. Your coordinator opens the call and sees it laid out, instead of trying to remember it between calls.

Map the suggested fields to your client intake custom fields, like care recipient name, hours per week and payer type. Your pipeline fills itself in, and your reports finally reflect what was said on the phone.

Hand-offs: no family repeats their story

Home care calls get passed around. The intake coordinator takes the first call, the director of care does the assessment, the on-call phone takes Saturday’s question. With Voice Intelligence, whoever calls next reads the summary first.

Families notice. Being asked “how is your mom settling in after the hospital?” instead of “can you tell me what’s going on?” is the difference between an agency that sounds organized and one that sounds like a call center.

Caregiver recruiting: phone screens that actually get recorded

Recruiters run through the same questions on every screen: availability, certifications, how far they’ll drive, whether they have a car, when they can start. Set the summary and fields to pull those answers out of the call, and your recruiting pipeline stays current without anyone typing them in.

Referral partners: remember what the discharge planner said

When a case manager mentions they’re seeing more dementia discharges, or that they prefer a text over a call, that’s relationship gold. A summary section for “partner notes” keeps it on the referral partner’s record, so your next visit picks up the conversation where it left off.

Coach Your Intake Team Without Listening to Hours of Calls

Most owners know their intake calls are where clients are won or lost. Very few have time to listen to them.

Voice Intelligence scores every call against a QA scorecard you build from your own call script. For a home care intake call, that might be:

  • Did we show empathy before talking about rates?
  • Did we ask about the care recipient’s needs and schedule?
  • Did we ask how care will be paid for?
  • Did we find out who makes the decision?
  • Did we offer to book an in-home assessment?

Each call gets a score out of 10 and a short tip. Instead of guessing, you’ll see which coordinator keeps skipping the payer question, or who is great on the phone but never asks for the assessment, and you can coach exactly that.

Every Call Logged the Same Way

Ask five people on your team how a call went and you’ll get five different answers. Voice Intelligence suggests the outcome from your own disposition list, for example:

  • Assessment scheduled
  • Follow-up needed
  • Price shopping
  • Not a fit (needs skilled care)
  • Caregiver interview booked

Your team confirms it with a click. Now your pipeline reports compare like with like, and you can see how many inquiries actually turn into assessments.

Set It Up Once for Your Whole Team

An admin chooses how Voice Intelligence works, and every call follows it:

  • Summary sections: pick what your team wants to read, like care needs, next steps or objections, and their order.
  • QA scorecard: add, edit or remove categories to match your intake and recruiting scripts.
  • Field suggestions: choose which contact fields to fill in, including your custom fields.
  • Call outcomes: suggestions come only from your disposition list.
  • Language: get results in the language your team works in.

You can turn off anything you don’t need, and change settings anytime. Changes apply to calls from then on.

How to turn it on

  1. Turn on Voice Intelligence in CareFunnels Labs.
  2. Go to Settings → Phone System → Voice → Call Recording & Transcription → Voice Intelligence and switch it on.
  3. Make sure call recording is on.

It works on calls through your CareFunnels phone numbers, and skips voicemails and very short calls.

Before you turn on call recording: some states require everyone on the call to agree to being recorded. A short line in your greeting, like “calls may be recorded for quality and training,” covers most situations. Check the rules for the states you operate in.

Why This Matters for Growth

Agencies don’t usually lose clients because they didn’t get the call. They lose them in the details afterward: a callback that came a day late, a family who had to repeat everything, an assessment nobody asked for.

Voice Intelligence closes those gaps without asking your team to do more. Your coordinators spend their time on the next family instead of on notes. Your records reflect what was actually said. And for the first time, you can see how every call went, without listening to a single recording.
